Job Title:   Mentoring Programme Co-Ordinator
Location:   Offices New Haw, Surrey
Hours: 25 hours per week, Term Time plus 3 weeks
Length of Contract:   Permanent
Rate of pay: £12,800 to £14,800 pro-rated (circa £22,000 to £24,000 FTE)
Responsible to:  Head of Youth & Community Work
Holiday Entitlement: 25 days plus Bank Holidays pro-rated
Pension: Workplace Pension Plan

Main purpose of Job
To plan, coordinate and implement all aspects of the mentoring programme; including recruiting and supervising volunteer mentors to work on a one-to-one basis with the programme’s service users, provide support, supervision and training, as required.

KEY RESPONSIBILITIES

Planning and Development
• Plan, resource and oversee delivery of sessions within Eikon’s strategy to ensure continued support is given by Eikon to young people
• Putting young people first and ensuring we offer the right help at the right time, ensuring the young person is at the heart of the mentoring at all times
• Inform, meet and recruit suitable volunteers for mentoring
• Provide a formal induction and training programme to ensure mentors are given the best possible start to their volunteering with Eikon
• Identify and provide ongoing / refresher training for volunteer mentors on an, as required basis
• Liaise and coordinate with other Managers and Lead Youth Workers to share resources as circumstances and opportunities permit
• Evaluation and development of the mentor program

Delivery
• Interface with appropriate school staff (e.g. Head of Years, Pastoral Care Assistants, Student Support Services) to identify the mentoring cases for which Eikon can provide a mentoring service
• Receive referrals from schools, meet with the potential mentees and assign the most appropriate mentor
• Support mentors in their first meeting with a mentee and thereafter on a periodic basis to review progress and determine when appropriate to conclude the mentoring programme for a young person
• Ensure the mentoring programme complies with Eikon’s Equal Opportunities & Diversity, Health & Safety and Safeguarding policies at all times

Management /Coordination of Volunteer Mentors
• Co-Ordinate a team of volunteer youth workers/mentors to deliver high quality one-to-one mentoring for young people
• Provide oversight, support, regular supervision and administration for the team, as required
• Ensure weekly record notes are prepared by mentors in a timely manner, review these and provide feedback as/where needed
• Support mentors in using the Eikon IM tool to set goals for the mentoring sessions
• Arrange and lead half-termly volunteer mentor group supervision events to share mentoring best practices, update the team on any developments within Eikon and/or provide additional training on specific subjects
• Undertake an annual review with each mentor to review their contribution and provide them an opportunity to give feedback on the mentoring programme and any suggestions they may have for improvements

Quality and Standards
• Ensure all volunteer mentors understand and deliver within Eikon’s Health & Safety, Safeguarding, Lone Working and Data Protection policies, procedures and practices
• Ensure that accurate records of all mentoring sessions are retained and provide summary data and information as required
• Ensure that Eikon’s mentoring programme continues to operate as an Approved Provider Service under the NCVO Mentoring and Befriending Foundation, or its equivalent and that renewal is planned accordingly

Communications and Relationships
• Develop and maintain relationships with different organisations, including; secondary schools, to ensure Eikon’s reputation is maintained and enhanced
• Ensure regular internal communications are shared with the group of volunteer mentors to keep them appraised of developments and initiatives undertaken by Eikon
• Provide data and examples of good mentoring practice for wider circulation within Eikon and to the outside world, as appropriate

Person specification - Key skills

• Counselling qualification or relevant experience
• Full comprehension and practice of safeguarding policy and procedures
• A commitment to see young people develop into happy, thriving and resilient young adults who can contribute positively to society
• The role requires an ability to work on your own initiative and to act independently within appropriate policies, procedures and guidelines
• Experience of managing and delivering contracts including, implementing and maintaining targets
• IT skills (e.g. Word, PowerPoint, Excel, Publisher, Access) for the preparation of reports, presentations, spreadsheets and other resources to support the work
• Effective communication, both orally and in writing
• Excellent interpersonal skills, team working and team management skills
• Ability to form good working relationships and work flexibly with others
• An understanding of working in the voluntary sector
• Experience of managing a counselling service
